Working Offline 📴
ShopkeeperPOS Desktop can work completely offline! This is perfect for times when your internet connection is unreliable or unavailable. You can continue processing sales, managing inventory, and serving customers even without an internet connection.
What is Offline Mode?
Offline mode lets you:
- Download Data: Save your products, customers, and settings locally
- Work Without Internet: Create invoices, view products, and manage inventory offline
- Automatic Sync: Changes sync automatically when you reconnect to the internet
Setting Up Offline Mode
Before you can work offline, you need to download your data:
Step 1: Ensure You're Online
First, make sure you have an active internet connection. You need to be online to download data for offline use.
Step 2: Setup Offline Mode
- Look for the network indicator in the top-right corner of ShopkeeperPOS Desktop
- Click on the network indicator
- Click "Setup Offline Mode"
- Wait for the data download to complete (this may take a few minutes depending on your data size)
- You'll see a notification when the download is complete

Step 3: Switch to Offline Mode
- Click the network indicator again
- Click "Work Offline"
- ShopkeeperPOS will switch to offline mode
- You'll see an indicator showing you're in offline mode
What You Can Do Offline
Once in offline mode, you can:
- Create Invoices: Process sales and create invoices (they'll sync when you go back online)
- View Products: Browse your entire product catalog
- View Customers: Access all customer information
- View Reports: See cached reports and data
- Print Receipts: Print receipts using your USB printer

Offline Dashboard
When you're offline, you'll see a special offline dashboard that shows:
- Number of invoices created offline
- Status of offline data
- Quick access to offline features
- Sync status indicator
Syncing Your Data
When you're ready to sync your offline changes:
- Ensure you have an internet connection
- Click the network indicator
- Click "Go Online"
- ShopkeeperPOS will automatically sync all offline changes
- You'll see a notification when sync is complete
Offline Invoice Queue
All invoices created while offline are stored in a queue. When you go back online:
- Invoices sync automatically
- You'll see a count of pending invoices
- Each invoice syncs individually
- You'll be notified if any invoices fail to sync
Best Practices
- Regular Syncs: Go online regularly to sync your data and download updates
- Before Important Periods: Set up offline mode before busy periods or events
- Monitor Queue: Check your offline invoice queue regularly to ensure everything syncs correctly
- Test First: Try offline mode during a quiet period to familiarize yourself with it
